Summary at a glance
We collect only what we need to plan and manage your trip (names, contact details, traveler preferences, accessibility needs you choose to share, etc.). We share this information with travel suppliers (airlines, hotels, tour operators, insurers) only as necessary to provide your services. We do not sell your personal information. You can request access, correction, deletion, or opt out of marketing at any time.
 

1) Scope

This Privacy Notice explains how we collect, use, disclose, and protect personal information when you interact with Be Brave Travel, including via our website, social media, forms, email, phone/text, invoices, and during trip planning or travel. This Notice applies to clients and prospective clients worldwide. Additional jurisdiction‑specific disclosures (e.g., California/CCPA, EU/UK GDPR) appear in Section 13.


2) Personal Information We Collect

We may collect the following categories of information directly from you or from someone booking on your behalf:

  • Identity & Contact: full name, preferred name, date of birth, address, email, phone.
     
  • Government/Travel Docs: passport details, known traveler/loyalty numbers, visa info (where needed for bookings). We recommend avoiding sending full ID images unless requested for a specific booking.
     
  • Trip Details & Preferences: destination, dates, budgets, room/seat preferences, loyalty numbers, dietary preferences.
     
  • Accessibility & Health‑Related Disclosures (Optional): mobility needs, sensory accommodations, allergy information, refrigeration for medications, or other information you choose to provide so we can advocate for accommodations. We do not require such data and only use it to serve you.
     
  • Payment & Billing: payer name, billing address, last 4 digits of card, transaction amounts/dates. We do not store full card numbers; payments are processed by secure third‑party processors (see Section 8).
     
  • Communications & Submissions: emails, messages, consultation notes, testimonials, photos you share with consent.
     
  • Website/Technical Data: IP address, device/browser data, and cookie‑based analytics (see Section 9).
     

3) Sources of Information

  • Directly from you (forms, calls, emails, messages, social media).
     
  • From your authorized representative (e.g., group leader, family member) who books on your behalf.
     
  • From travel suppliers and partners (e.g., booking confirmations, schedule updates).
     
  • Public/third‑party sources as permitted by law (e.g., fraud‑prevention, address validation).
     

4) How We Use Personal Information

We use your information to:

  • Provide, arrange, and manage travel services and itineraries.
     
  • Request accessibility or dietary accommodations at your direction.
     
  • Communicate with you about quotes, bookings, changes, and support.
     
  • Process payments and send invoices/receipts.
     
  • Send optional marketing (deals, news) with your consent and allow you to opt out.
     
  • Maintain business records, comply with legal obligations, and protect our rights and clients.
     

5) Our Legal Bases (EU/UK)

Where GDPR applies, our processing relies on: contract performance, legitimate interests (e.g., client service, fraud prevention),


 

6) Sensitive Data & Accessibility Notes

We recognize that accessibility or health‑related information can be sensitive. We collect such information only if you voluntarily provide it so we can make arrangements you request (e.g., wheelchair‑accessible room). We share it only with suppliers who need it to fulfill your request. You may withdraw consent at any time; note this may limit our ability to secure accommodations.


7) How We Share Information

We share personal information only as necessary with:

  • Travel suppliers (airlines, hotels/resorts, cruise lines, tour/transfer operators, insurance providers) to book and service your trip.
  • Payment processors and invoicing platforms to securely process payments.
  • Technology/service providers (email, CRM, forms, analytics) under contracts requiring appropriate safeguards.
  • Legal/Compliance recipients where required by law, court order, or to protect safety/rights. We do not sell personal information or share it for cross‑context behavioral advertising.


8) Payments

Payments are processed by third‑party processors and invoicing platforms that comply with industry security standards (e.g., PCI‑DSS). We receive confirmation details (amount, date, last 4 digits) and do not store full card numbers.


9) Cookies & Analytics

Our website and emails may use cookies or similar technologies for functionality, performance, and basic analytics (e.g., page views, referral source). You can manage cookie preferences through your browser settings. If we use third‑party analytics tools, they may set their own cookies; these providers are contractually bound to use data only to provide services to us.


10) Data Retention

We retain personal information only as long as needed to provide services, for legitimate business purposes, and to comply with legal, accounting, and tax obligations—generally up to 7 years after your last booking or inquiry, unless a longer period is required by law. Photos/testimonials used for marketing are retained until you withdraw consent.


11) Security

We use administrative, technical, and physical safeguards designed to protect personal information (access controls, encryption in transit where applicable, least‑privilege access, employee confidentiality obligations). No method of transmission or storage is 100% secure; we cannot guarantee absolute security.


12) Children’s Privacy

Our services are directed to adults. We collect information about minors only as necessary to book travel and with consent from a parent/guardian. If you believe we have collected a child’s data without proper consent, contact us to request deletion.


13) Your Privacy Rights

Depending on your location, you may have rights to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete information, subject to legal/contractual limits.
  • Restrict or Object to certain processing.
  • Data portability (EU/UK).
  • Withdraw consent at any time (e.g., for marketing or sensitive data you provided).
  • Opt out of marketing by using unsubscribe links or contacting us.
  • California (CCPA/CPRA): We do not sell or share personal information as defined by CPRA. You may request access, correction, or deletion, and limit the use of sensitive personal information. To exercise these rights, see Section 16 (Contact Us). We may need to verify your identity and, where permitted, respond within the applicable statutory period.


14) International Transfers

If you are located outside the United States and we or our suppliers process your information in other countries, your information may be transferred to jurisdictions with different data protection laws. We will implement appropriate safeguards where required (e.g., standard contractual clauses for EU/UK data).


15) Third‑Party Links & Social Media

Our site and communications may include links to third‑party websites or social platforms. We are not responsible for their privacy practices. Review their policies before providing personal information.

We may update this Notice from time to time. The “Effective date” will show the latest version. Significant changes will be communicated through our website or by email where appropriate.


18) U.S. State‑Specific Disclosures (If Applicable)

If you reside in California, Colorado, Connecticut, Virginia, Utah (or other states with privacy laws), you may have additional rights regarding access, correction, deletion, and appeal of a denied request. You may also limit the use/disclosure of sensitive personal information where provided by law. We will not discriminate against you for exercising your rights.
